Method 1: Create in the console

Enter orders one at a time in OMS. Best for low volumes and one-off shipments. Higher volumes, or orders already in your own system? See Method 2: Bulk import.

Step 1: Open the Parcel Outbound page

  1. Sign in to Topwell OMS.
  2. In the left menu, go to WarehouseParcel Outbound.
  3. Click Add at the top left of the list.

Step 2: Fill in Basic Information

Note Pick the warehouse first. "Specified delivery date / Specify delivery time" and the whole Product Information section only appear after a warehouse is selected, because available stock is calculated per warehouse. An empty page on first load is expected.

Step 3: Fill in Receiving info

The address decides whether the parcel arrives at all, and it is where most mistakes happen.

Mapping a Japanese address onto these fields

Take 〒150-0002 東京都渋谷区渋谷 3-15-7 グランドメゾン渋谷 502:

Of these, Province/State, City Name, Postal code and Address1 are required. With House number left empty, Address1 carries the whole street portion — don't leave anything out of it.

Important Address1 and Address2 are limited to 16 full-width characters each. The counter in the corner of the field says 0/255 — that is the system's limit, not the carrier's. In practice each line takes 16 full-width characters, and going over causes problems. For long addresses, move the building name and room number into Address2 and keep both lines within 16.

Half-width characters (digits, latin letters, hyphens) count as half. Applied to the example above, both lines sit comfortably inside the limit:

Use the address book

Choose from address book at the top right of the section pulls in a saved address in one click — faster and safer than retyping.

Important The form not enforcing it doesn't make it optional. Pick a Japan domestic channel (Yamato Takkyubin, for example) and the required markers on phone and province/state disappear — but Yamato and Sagawa require a phone number on the carrier side. Without it the courier cannot reach the buyer and the parcel comes back. Always fill both in.Important The address cannot be changed once the order reaches Awaiting (warehouse processing). Fix it while it is still a draft, or cancel and recreate.

Step 4: Select products

  1. Click Select product in the Product Information section.
  2. Each row shows SKU / Product Name / Available / Declared value / Outgoing Quantity.
  3. Enter the outgoing quantity and check it against Available on that row.
  4. Outbound Qty Summary appears below the table.

One order = one parcel

Two parcels to the same person means two orders. Don't combine them.

Step 5: Cost Estimation, Value-added Services, Attachments (optional)

  • Cost Estimation — estimate the cost before submitting
  • Value-added Services — use Add Service for labelling and similar extras
  • Attachment — your own labels, invoices and so on; same formats and limits as inbound orders

Step 6: Submit

The bottom of the page has Back / Submit / Save draft. Submitting puts the order into Drafts → No label obtained.
